CALL FOR VOLUNTEERS! 2026 Art Exhibit & Juried Show LSAG Qualifier

Registration

  • Meet Friday Oct 16, 9:00 am at TWAL Studio. Load panels & supplies, take to SHSU and set up. Light lifting.
  • Meet Friday Oct 16, 10:30 am at SHSU and unload panels, supplies and set-up panels in event room. Light lifting.
  • Greet and assist artists to check in their art, check art for correct wiring, note any damage, pass out and assist with tag placement, cover signatures, etc. with blue tape.

  • Meet and greet guest, help where needed.
  • Assist with guests and awards ceremony.
  • Help bring First Place and Best of Show winning art to the front and place on easels for Judge to announce winner and critique. Then pick-up art and re-hang in it's place on panels.

  • Panel Take-Down/Load/Deliver to TWAL
    Light lifting, carrying, unload panels at TWAL Gallery after close of show
  • Meet Dave at TWAL to help unload panels & supplies from show. Light lifting, carrying.
  • Saturday – October 17:
    • Show Lead will arrive before the Judge arrives. Double-check everything: art hanging correctly, signatures covered.
    • Meet and greet the Judge upon arrival to the venue. Show Lead will assist the Judge when judging starts by either documenting the awards as they are awarded, or by hanging the awarded ribbons on the top right corner of each piece with painter’s tape. We will have a volunteer to help the Show Lead with this.
    • Judge will start judging artwork. (Closed to public, and all members), Document and Place 1st, 2nd, 3rd, 1st Hon Mention, and Honorable Mention ribbons, then Best of Show/Adult & Youth ribbons.
    • Lunch break. Judge, Assistants, Board members present will have a lunch break in the reception area.
    • Judge and two Assistants resume the judging after lunch.
    • Once judging is complete, ribbons and documentation is double-checked by Assistants.
    • Tape is removed from covering signatures on all art. Tags are opened so artists’ names can be seen.
    • You will arrange to have your Volunteers carry 1st Place winners, and Best of Show (Adult & Youth) winning art in sequence of Division and Category to the easel(s) in front by the Judges’ podium. The Judge will announce the winners and critique, then volunteers will take art back to original panel for the duration of the show. Gift bags/cards will be awarded to the Best of Show winners.
    • Need to make sure we have all awards photographed. (Photography Lead will do)
    • Check art and help clean up at close of show.

    Sunday – October 18:
    • Show Lead will arrive before the show opens to the public to make sure the ribbons are on the art, all hanging ok.
    • Help meet and greet guest. Show Lead, will receive the winning art at 3:00 p.m. Give notice to Jim Kuykendall of the winner, and have artwork ready to bring to front to podium for ribbon and gift card presentation.
    • Makes sure photos (Sarah Jo) are taken of each award/artists, etc.
    • Show ends and Exhibit Lead & Volunteers will take over for artists to sign-out and take their art. We all work as a team, but each Lead Volunteer is primarily responsible for their task, coordinating and working with other Leads and Chairperson.

The Woodlands Art League needs YOU  to volunteer to help in various areas!

Sign-up to Volunteer! You don't have to enter your art, or be a member to Volunteer. When registering to Volunteer, scroll the list to the "Register" button. Click, then select the Date & Time you would like, then find available time slots & task needed for that day, and select one, then next, and register

You may, (we hope you do!) sign-up for more than one time slot/day, but must register for each separately. Thank you!
